Imagine having a night in a completely different world, a scary world, to be more exact. This is exactly what you can do on the 1st of October at the Breda Film Festival. You will forget all the problems of daily life and you can completely immerse yourself in the world of horror movies. The best classical and new movies will be shown during a full-evening event taking place at the Chassé Theatre in Breda, The Netherlands. The festival is accessible to everyone from everywhere around the world that loves horror movies. 

The event will feature special guests such as top-class actor Johnny Depp and will premiere the best new movies from Dimension Films. And if that was not enough already, also the best movie production companies will explain to you all their secrets when it comes to producing horror movies. It will be an unforgettable night that you do not want to miss! 

The Breda Film Festival is organised by students that share the same passion and love for movies (and popcorn, to be honest). These people met each other at the Leisure & Events study of Breda University of Applied Sciences. On the first day they were colleagues, now they are friends. Because why would you watch a movie alone if you can do it together? This formed the basis for the Breda Film Festival and nowadays this event is still organised by the same people. But they would not be able to do it without the visitors, volunteers, employees and partners. We do it all together.

This year's horror edition of Breda Film Festival will take place on 01.10.2022 at Chasse Theatre. 

The doors to Chasse will open at 16:00 and the festival is planned to end midnight. During the festival different horror movies will be streamed, to make sure there nis one for everyone's taste. To be sure everyone is allowed to watch the movies, the set age of the festival is 18+. There are two different types of ticket options, regular, and VIP tickets. VIP ticket holders will have early access to the movie rooms and can choose the best seats. On top a snack and a drink will be provided to VIPs. 

To match the theme and to set the mood, creepy attire is welcomed at the event.

When and where does the festival take place? 

Our festival will take place on the first of October 2022 at Chassé theatre in Breda. The doors will open at 16:00 and all visitors are expected to arrive latest at 16:30. We expect the festival to end around midnight. 

The location is easily reachable by public transport, bicycle and car. For a detailed description and parking possibilities, please check the website of Chassé.

When will the ticket sale start? 

The ticket sale will start on the first of July 2022. Tickets can be easily bought here on our website. 

Will there be food and drinks?

Yes. Our guests will be provided with food and drinks throughout the entire night. We will also provide vegan and vegetarian options. 

Is the festival wheelchair friendly?

Yes. It is no problem to enter the building of Chassé and the theatre rooms with a wheelchair. 

Is the festival children friendly? 

No. Our this years edition of the festival is not children friendly and we expect our visitors to all be the age of 18 and above. The movies we will show are horror movies and therefor not suitable for an audience under the age of 18. 

Are there any COVID-19 restrictions? 

At the moment we are not dealing with any COVID-19 restrictions. If the situation gets worse closer to our festival and the government decides to implement COVID-19 restrictions, we will update the information on our website as soon as possible. Company and Project Background

Breda Film Festival has started up as a community-building festival by those who love movies to does who also share this love. The Festival started last year with the mission to bring professionals in the film industry closer to general cinema visitors. The program also includes workshops, meet and greets and other small events.

Project Overview

The festival awaits 2000 visitors for a one-day event during which visitors get to watch movies in 2 rounds. In each round, they can choose from 3 movie options. This year’s theme is Horror. 

The project we are currently accepting proposals is the following: 

We are looking for catering partners who can provide several possibilities for our guests with specific dietician requests, but also who can work among SDGs since Breda Film Festival has been set to be among the most sustainable festivals in Western Europe. 

We would like our catering partner to be able to provide for both public and VIP guests at the same time, taking different budgets into account. 

Project Goals

The goals of this project include:

·       Incorporate at least 2 SDG options in the planning of the menu and workforce.

·       Include allergy-friendly and vegan meal options to satisfy our guests.

·       General ticket holder-friendly budget for portion pricing. 

To reach these goals, Breda Film Festival is now accepting bids in response to this Request for Proposal.

Scope of Work

·       Breda Film Festival is a publicly open festival for film lovers. The program of the festival includes small-scale workshops, screenings, meetings and also meet and greet opportunities with professionals in the film industry.

·       This year the festival would like to give public and VIP visitors the opportunity to also receive a dinner option and not only the standard cinema catering options. 

·       For our VIP guests, the dinner is included in their tickets, however, visitors with general tickets are allowed to purchase their dinner at the venue.

·       The project in this case is to present a caterer to our visitors who fulfil the requirements of not only the organizers of the Breda Film festival but also our general public audience in terms of diner options.

·       When sending in a Proposal we would like to ask the Applier to think of 3 different options of menus including a main course and a small dessert. Each menu is supposed to have a vegan and allergy-friendly option. Meaning that Appliers are expected to give 3 options of normal menu, 3 options of vegan and 3 options of allergy-friendly meals but within 3 concepts of menus.

·       This year's festival has been given a horror movie theme, which Appliers are encouraged to use in the making of the concepts of the proposal.

·       For the general visitor, extra dinner tickets will be included. Appliers must include a calculation in their proposal with an estimate of costs per portion.

Final Project Due: 1st of October

The expected project completion date is the 1st of October. This date can and will not change under any circumstances. Please only consider sending a proposal when this date is possible for execution as well. 

Existing Roadblocks Or Technical Issues

·       Electricity is given at the location, however other equipment for heating meals and serving them should be provided by the caterer. 

·       The caterer should think of sustainable ways of cutlery and plates, keeping the general regulations and connecting SDGs in mind.

·       Loading items in and out of the venue is connected to tight 20-minute time schedules which have to be followed by the Applier winning the opportunity.

Budget Constraints

The budget of the VIP catering is 1500€ concerning the low number of VIP guests, which currently is estimated at 150-180 people.

The Budget for the General catering is not given however an estimated portion price has to be included for further evaluation. This should include the costs per portion and the profit margin if any as well.

Evaluation Metrics

Breda Film Festival will evaluate bidders and proposals based on the following criteria:

●      Samples and variety presented by the bidder

●      Ethical portion prices for general visitors.

●      Experience in similar events.

●      Creative and professional approach.

●      Responsiveness and answers to questions in the next section.

Questions Bidders Must Answer To Be Considered

·       What do you see as the most challenging part of this project and why?

·       Please elaborate briefly on the concepts of the menu and the reason why those have been chosen!

·        If something goes wrong what is the hierarchy of people solving the problem in the company?

Submission Requirements

Besides our project-related requirements, bidders also must fulfil these general requirements.

●      Only bidders who meet all 5 metrics in the evaluation section should submit a proposal.

●      Proposals must be sent in by 20.08.2022. Bidders who are interested in submitting a proposal should inform Gréta Egervári, [email protected] no later than 10.08.2022.

●      It is optional to include samples and required to have visualized attachments at least.

●      Proposals should at least include 3 menu options with vegan-friendly and allergy-friendly options each. Missing this requirement will result in immediate rejection.

●      A proposed schedule/script of execution on location should also be included.

What We’re Looking For in Potential Vendors

Breda Film Festival in particular looks for a Bidder who can be trusted with the responsibility of planning and executing the catering service of the festival. The organization wishes to have a partner for this task who can bring on a creative, sustainable and last but not least theme-fitting idea about the menu, setting and workforce as well.

Breda Film Festival supports gender and pay equality and wishes to also find a partner in these guidelines in the future caterer of the festival. 

Having a positive experience with our caterer partner may result in future long-term commitment opportunities, as Breda Film Festival plans on growing in the following years. We would like our future stakeholders to be able to keep this in mind as well when applying.
